How to hire an AI consultant in Australia — what to ask before you sign anything

Most Australian businesses that hire an AI consultant make the same mistake: they evaluate the pitch instead of the process. A good pitch covers the opportunity — what AI could do for your business. A sound process covers the work — what they will actually build, in what timeframe, at what cost, with what consequence if it fails.

The short version: ask five questions. If you don't get clear written answers to all five before the engagement starts, walk away.

The five questions to ask before you sign

1. What specific deliverable will I receive, and what will it do?

The answer should be a working piece of software. Not a document. Not a roadmap. Not a set of recommendations. If the firm's answer is vague — "we'll develop an AI strategy for your business" — that is the first red flag.

2. What happens if the deliverable isn't working by the agreed date?

The only answer worth accepting is a written refund clause in the contract. If no such clause exists and the consultant is unwilling to include one, the risk is yours entirely.

3. Will I own the automation after the engagement?

The agent should run on your n8n instance, your API keys, your connected accounts. You should be able to keep running it without the consultant.

4. What is the full price, written down, before we start?

Hourly billing with a "not to exceed" estimate is not a fixed price. A fixed price is: this scope of work, delivered by this date, for this amount, with a refund clause if we miss the date.

5. How will I know if it's working?

Before the engagement starts, define in writing: what the agent will do, how many times per day or week, and how you'll verify it ran correctly. These are your acceptance criteria.

Red flags in AI consultant pitches

  • "We use a proprietary AI platform" — means you may not own the output.
  • "Pricing depends on scope" (before scoping) — means no fixed price is coming.
  • "AI readiness assessment" as the first deliverable — means they're selling you a document, not an automation.
  • "We work iteratively and adjust as we learn" — without a written scope, this means no defined "done."
  • "We'll train your team on AI" — training is not an automation. You want working software.
  • "Let us do a discovery phase first" (at cost) — they're charging you to produce the quote.

Common questions.

How much does an AI consultant cost in Australia?

Fixed-price specialists like NOYS charge $999 for a workflow sprint (credits toward the build) and a fixed Build quote from $1,500 to build and deploy one AI agent. Boutique agencies charge $150–$400/hour with no fixed scope. Big consultancies start at $50,000+ for strategy work.

What qualifications should an AI consultant have?

No formal AI consulting qualification exists in Australia. Evaluate on demonstrated output — a live automation they can show you working on a client's actual workflow — not credentials or certifications.

How long does it take to build an AI agent in Australia?

A well-scoped single-workflow AI agent should take days to build, not months. If a consultant quotes 4–8 weeks for a single automation without a fixed scope, the timeline will likely expand further.

What is the difference between an AI consultant and an AI agency?

The terms are used interchangeably in Australia. The distinction that matters is not the size — it's whether they deliver working software with a written scope agreement at a fixed price.
