Every job leaves a paper trail.

A single delivery can produce a booking email, a consignment note, a photo of a signed proof of delivery, a customer asking where their freight is, and a carrier invoice that may or may not match the quote. Multiply that across a day's runs and the office spends its afternoon keying details from one system into another.

The pressure lands on dispatch. When the phone rings with a "where is it" call, someone stops planning tomorrow's runs to check a driver's last update. When a POD photo is blurry or missing, invoicing waits.

Chain of Responsibility and privacy.

Heavy vehicle businesses work under Chain of Responsibility (CoR). The National Heavy Vehicle Regulator's regulatory advice on the primary duty quotes section 26A of the Heavy Vehicle National Law: safety of transport activities relating to a heavy vehicle is the shared responsibility of each party in the chain of responsibility. The NHVR says each party must meet the same standard, to ensure safety so far as is reasonably practicable.

The NHVR's list of parties in the CoR includes the businesses that schedule the transport of goods, pack goods for transport, and manage premises where five or more heavy vehicles are loaded or unloaded each day. Office automation can touch those roles. A booking bot that promises a delivery time, or a reminder that nudges a driver about a deadline, is part of how a job gets scheduled.

So we set a rule for every logistics build: automation reports, records and reminds, but it never commits a delivery window or pressures a driver. Timing promises stay with a dispatcher who can see the whole picture. Good records help too, and most of our logistics automations exist to capture them.

Customer and driver details are personal information. The OAIC's guidance on commercially available AI products says privacy obligations apply to personal information put into an AI system, and recommends as best practice not entering personal information into publicly available AI chatbots. Common questions.

Does Chain of Responsibility apply to office automation?

It can, if the automation affects scheduling or loading. The NHVR lists parties such as schedulers and loading managers, so our builds report and remind but never commit delivery times or pressure drivers.

Can AI read handwritten or photographed PODs?

Mostly, yes, and the rest gets flagged. Clear photos and scans usually extract well. Anything blurry, unsigned or missing a consignment number goes to a person to check.

Will it work with our transport management system?

Usually, yes. If your TMS has an API we connect through that, and if not we use email and spreadsheet exports. The Sprint report confirms which before you commit.

Do we have to change how drivers work?

No, not in most builds. Automations start from what drivers already send, such as POD photos and status taps, so nothing new lands on them.

How much does it cost?
